Clinton Foundation HIV/AIDS Initiative Overview:

The Clinton Foundation HIV/AIDS Initiative (CHAI) assists countries in implementing large-scale, integrated care, treatment, and prevention programs to turn the tide on the HIV/AIDS epidemic . We partner with governments in developing countries to develop operational business plans to scale-up HIV/AIDS care and treatment.

The Foundation is currently active in Africa, the Caribbean and Asia. The host governments take overall responsibility for the programs; the Foundation provides technical assistance, mobilize! s human and financial resources, and facilitates the sharing of best practices across projects. The ultimate objective in each of these countries is to make high-quality HIV/AIDS care and treatment available to all who need it, and to develop replicable models for large-scale programs in other resource-poor settings.

Specifically, the Foundation provides technical assistance to governments in areas such as setting care protocols, training of health professionals, procuring and distributing medicines, upgrading laboratories, establishing effective patient information and measurement & evaluation systems, and overall program management.

In Indonesia, CHAI supports the Subdirectorate AIDS&STI (Su! b.Dit AIDS) of the Indonesia Ministry of Health (MoH) in vario! us areas , including strengthening the supply chain management system for HIV/AIDS drugs and other related commodities.

To support the effectiveness and efficiency of Supply Chain Management team works,  CHAI is recruiting for a Supply Chain Management team Administrative Staff to support the team with various finance, administrative and logistics tasks.

Supply Chain Management Team Administration Staff

Role:
The Supply Chain Management Team Administration staff will be responsible for providing finance, administration and logistics support to Clinton HIV/AIDS Initiative and  SubDit AIDS & STI Supply Chain Management (SCM) team
 
Responsibilities:

  • Finance and Administration
  • To have comprehensive understanding on SCM team's work plan and budget
  • Support SCM team members in verbal and non-verbal communication with various stakeholder regarding SCM activities, this includes formal letter preparations and follow ups
  • To arrange travel needs for SCM team and other SCM activities participants as required, includes flights/transportation and hotels.
  • To support SCM team members in logistics arrangement for activities, includes hotel searching and bookings, venue searching and for conferences, food provision, meeting kits preparation and procurement
  • SCM team pe! tty cash management, includes distribution and expense report collection
  • Support SCM team members in making expense reports
  • Manage vendor relationship, payment of bills and invoices


Project Management:

  • Support SCM team members in drafting Terms of Reference (TOR) for SCM related activities, which includes activity budget drafting
  • Support SCM team members in managing Minutes of Meeting
  • Provide on-site administrative support for meetings with large number of participants, potentially requiring travel with the SCM team.
  • Notify SCM team of upcoming deadlines related to activity report and TOR submissions
  • Support SCM team members reporting with layout and printing of reports


Qualification :

  • Business, Accounting, Finance, Supply Chain Management degree is desireable, however exceptional experience will be considered in lieu of a degree
  • At least one year experience in Accounting/Finance and! /or book -keeping responsibilities and one year experience in event organizing
  • Basic understanding in supply chain management
  • Basic understanding in budget and program planning
  • Basic experience in in-country and international travel arrangement
  • Basic understanding in petty cash management
  • Work fluently on MS-Word and MS- Excel
  • Good communication skills in spoken and written Bahasa Indonesia and English
  • Multitaksking capability
  • Can work under tight schedule with low scale uncertainty
  • Flexible enough to take on additional tasks as they arise.
  • Ability to function independently with competence to assess priorities
  • Excellent interpersonal skills with ability to build collaborative partnerships with fellow    team members.
  • Flexible for domestic travel
  • Flexible for working at several sites
